We are seeking a dedicated and organised Administrative Assistant to join our team. The ideal candidate will be responsible for providing administrative support to ensure the efficient operation of our services and fundraising. You will support staff members and volunteers with a variety of tasks across the organisation:
- Creating a safe, compassionate and welcoming environment for our service users, supporters, other visitors and volunteers
- Preparing treatment rooms and other areas to receive service users
- Monitoring stock levels, ordering supplies and ensuring delivery to our HQ and other bases
- Answering and directing calls, emails, web/social media enquiries, and forms
- Supporting the service delivery manager with registrations, organising/re-scheduling of appointments and filling of cancellations, including maintaining the waiting lists
- Supporting the team in the delivery of training, talks, meetings and events as required
- Sending out and ensuring the timely return of fundraising materials
- Writing and sending thank you letters and certificates
- Keeping accurate and up to date records including maintaining filing
- Assisting in the preparation of regular reports
- Ensuring all work complies with the relevant policies and procedures
- Taking part in appraisals and training to support your development
