Trustee / Committee volunteer needed for Reading Dusseldorf Association

We are the Reading Düsseldorf Association, and we exist to promote and develop the links of friendship between Reading and Düsseldorf. We do this in partnership with Reading Borough Council and Landeshauptstadt Düsseldorf (the City Council) and with many local organisation of various kinds.

We are currently celebrating our 70th anniversary, and hope to carry on for many years to come.

We need a Secretary whose functions are to:

  • keep our records safely in such a way that knowledge is preserved and can be retrieved
  • prepare for meetings
  • contribute ideas and advice
  • take notes of discussions, decisions and actions
  • write the minutes
  • write some letters

The time estimate given is intended to cover these functions.

Additional tasks that we could ask the right person to perform, subject to interest, aptitude and requirements, might include:

  • checking that actions are carried out
  • maintaining and adding to archives of documents and photographs, both paper and electronic
  • advising on legal and organisational topics
  • keeping records of members and subscriptions paid
  • keeping records of other contacts
  • writing communication to member and contacts and distributing them
  • getting coverage for out activities in the media
  • producing and distributing advertising for out events
  • keeping in touch with partners in Reading and in Düsseldorf
  • sharing with other Committee members in decision-making and in organising out events and activities.

The Secretary should be a self-starter, able to work positively with the Chairman and other Committee members. Our basic need is for an administrator, but the right person might have much more to offer. Preferably, the Secretary will be interested in supporting international friendship and goodwill, and in working with a wide variety of people.

Knowledge of German would be helpful but it is not a requirement; other member have it, and our partners in Düsseldorf mostly speak English well.

The task should take only an hour or two a week most of the time. There are about 4-6 meeting per year for which you would prepare agendas, take notes, write formal minutes, and follow up actions. Apart from actually attending the meetings this will be done at the time of your choosing.
Committee meetings are in the evenings usually from 6.30, and last about 1.5 hours.
